Email Types

  1. Audit Point Action Plan Overdue - AuditAlert requires that an action plan be presented by the auditee assigned remediation responsibility for each audit finding. There is an Action Plan Due Date assigned to each finding. If an action plan is not presented by the due date, the responsible auditee will receive an email the day after the due date. This email has an embedded link taking the auditee to AuditAlert Web.
  2. Audit Point Action Plan Reminder – the Action Plan Reminder Date is an optional field. If selected by the auditor, an email will be generated and delivered to the auditee assigned remediation responsibility for the audit finding on the reminder date, if the action plan has not already been presented. This email has an embedded link taking the auditee to AuditAlert Web.
  3. Audit Point Completed - the auditee assigned remediation responsibility for the audit finding will mark the audit point as completed when he/she feels that the finding has been remediated. The audit staff member assigned “follow up after implementation” responsibility will receive an email indicating the completed audit point.
  4. Audit Point Draft Report - the auditor can run an Audit Point Status report at any time. The auditor has the option to email the draft report as an attachment to selected audit and management personnel. Once the report is saved and the AuditAlert Control Service runs, the email with the attached report is delivered.
  5. Audit Point Due Date Revision - each audit finding requires a “Proposed Due Date.” If the auditee assigned remediation responsibility for the audit finding cannot remedy the situation by this date, the auditor and auditee will agree on a “Revised Due Date.” An email message will be sent to the auditee to confirm the revised date. This email has an embedded link taking the auditee to AuditAlert Web.
  6. Audit Point Final Report - AuditAlert will send the final Audit Point Status report to selected audit and management personnel selected by the auditor via email as an attachment. Once the report is saved and the AuditAlert Control Service runs on the “Planned Report Distribution Date”, the email with the attached report is delivered.
  7. Audit Point Locked - when the audit staff member assigned “follow up after implementation” responsibility for the audit finding is satisfied, the audit administrator will be notified that the audit point can be “locked.” Once “locked” an email will be generated to inform the appropriate parties that no further changes can be made to the audit point. This email has an embedded link taking the auditee to AuditAlert Web.
  8. Audit Point Overdue - the auditee assigned remediation responsibility for each audit finding will be informed the following day when the “proposed due date” or the “revised due date” has passed and the audit point has still not been marked as completed. The audit point will now be in an “overdue” status. This email has an embedded link taking the auditee to AuditAlert Web.
  9. Audit Point Release - the auditee assigned remediation responsibility for audit finding(s) will receive an email on the day that the audit finding(s) have been released by AuditAlert. This email has an embedded link taking the auditee to AuditAlert Web.
  10. Audit Point Reminder - the Audit Point Reminder Date is an optional field. If selected by the auditor, an email will be generated and delivered to the auditee assigned remediation responsibility for the audit finding on the reminder date indicating that the proposed due date or the revised  due date is approaching. This email has an embedded link taking the auditee to AuditAlert Web.
  11. Audit Point Reopened - if an audit point that has been marked as “completed” is reopened by an audit staff member during the review process, an email is delivered to the auditee who was assigned remediation responsibility for the audit point. This email has an embedded link taking the auditee to AuditAlert Web.
  12. Audit Point Request for Update - an audit staff member or the auditee who was assigned remediation responsibility for the audit point can generate an email through AuditAlert or AuditAlert Web to any employee in the Staff Profile requesting a status update of the remediation of an audit point. If originated by the auditee, the email has an embedded link taking the auditee to AuditAlert Web.
  13. Audit Point Response - an audit staff member or the auditee who was assigned remediation responsibility for the audit point can generate an email message through AuditAlert or AuditAlert Web to any employee in the Staff Profile leaving a comment or requesting a response relating to an audit point. This is done in the Response/Comments form in AuditAlert Web. If originated by the auditee, the email has an embedded link taking the auditee to AuditAlert Web.
  14. Exam All Questionnaires Completed - when all of the questions in each questionnaire (audit programs, ICQs, etc.) within an examination is completed, an email is generated and delivered to the audit staff members who are listed in the “Audit Staff Assigns” form, Section 2, Responsibility for Audit.
  15. Exam Announcement - initial email delivered for an examination. It is sent to the audit staff and auditees who have been assigned various responsibilities for the examination.
  16. Exam Final Report - the auditor will send the final examination report to selected audit and management personnel via email as an attachment. Once the report is saved and the AuditAlert Control Service runs, the email with the attached report is delivered.
  17. Exam Release - sent to the audit staff and auditees who have been assignedquestions in an audit program and / or internal control questionnaire. The auditee clicks the imbedded link in the email and is automatically taken to AuditAlert Web.
  18. Exam Draft Report - the auditor can run a draft examination report at any time during the examination process. The auditor has the option to email the draft report as an attachment to selected audit and management personnel. Once the report is saved and the AuditAlert Control Service runs, the email with the attached report is delivered.
  19. Management Summary Comment - an audit staff member or the auditee who was assigned remediation responsibility for the audit point has the option to generate an email through AuditAlert or AuditAlert Web to any employee in the Staff Profile requesting that they review and comment on the updated Management Summary in preparation for the next Audit Committee meeting. This email has an embedded link taking the auditee to AuditAlert Web.
  20. Management Summary Due - the auditee who was assigned remediation responsibility for the audit point will receive an email message if they have audit points still outstanding. This is a reminder message which is generated and delivered on the “Notification Date” in advance of the next scheduled Audit Committee meeting. This email has an embedded link taking the auditee to AuditAlert Web.
  21. Notes by Email - an audit staff member who is initiating an electronic note has the ability to leave notes for other audit staff members and auditees. For auditees the note will be delivered in the form of an email since they do not have access to AuditAlert.  An audit staff member can also receive a note via email, normally in case of an urgent matter.
  22. Question Reopened - if a question that has been marked as “completed” is reopened by an audit staff member during the review process, this email is delivered to the audit staff member or auditee who was assigned responsibility for the question. This email has an embedded link taking the auditee to AuditAlert Web.
  23. Questionnaire All Questions Completed - when all questions in a questionnaire (audit program / internal control questionnaire) have been marked as “completed”, this email is sent to the audit staff member(s) assigned “responsibility for audit.”
  24. Questionnaire Completed - when all of the questions in each questionnaire within an examination is completed, an email is generated and delivered to the audit staff members who are listed in the “Audit Staff Assigns” form, Section 2, Responsibility for Audit.
  25. Questionnaire Due Date Reminder - if the reminder option is selected for a questionnaire when it is created, audit staff members and auditees will receive an email reminder if they have not completed their assigned question in that questionnaire. This email has an embedded link taking the auditee to AuditAlert Web.
  26. Questionnaire Overdue - the day after the questionnaire due date has been reached an email will be delivered to the audit staff members and auditees who have not completed their assigned question in that questionnaire.
  27. Questionnaire Reopened - during the auditor review process the auditor can reopen a question that has been marked as completed by the responder. An email will be automatically delivered to the responder, notifying them that a question in that questionnaire has been reopened. This email has an embedded link taking the auditee to AuditAlert Web.
  28. Questions New and Released – questions can be added to a questionnaire that has already been released. The audit staff members and auditees who have been assigned the questions will be notified by email that the new questions have been released and are ready to be replied to. This email has an embedded link taking the auditee to AuditAlert Web.
